Cancellations and Refunds
The Hirer must give notice of cancellation of a booking by email to ivcp@eastleigh.gov.uk and should ensure they receive acknowledgement from Council staff. Cancellation charges apply as follows subject to the discretion of Itchen Valley Country Park:
Less than 14 days’ notice: 50% charge
Less than 7 days’ notice: Full chargeItchen Valley Country Park reserves the right to cancel any hire without notice if, due to circumstances outside their control, the premises is unavailable for the hire period. In this event, no hiring fees will be due, but Itchen Valley Country Park and Eastleigh Borough Council shall have no further liability to the Hirer.
Any refunds owed due to cancellation will be arranged by Eastleigh Borough Council within two weeks of the cancellation date. -
Catering
There is a small kitchen within the building, which can be hired alongside the Hide. This should be booked prior to the event.
Catering, including tea and coffee, can be provided by Itchen Valley Country Park's Catering team for an additional fee. Please contact the team on ivcp@eastleigh.gov.uk
External caterers must be agreed in writing with IVCP management before the event
Candles are permitted for birthday cakes only, hirers must ensure windows and doors are open to allow adequate ventilation of the space whilst candles are lit.

Parking
Car parking charges apply everyday (including Saturdays, Sundays and Bank Holidays). Parking is included for some ticketed events where specified in the event description only. All parking fees go directly to maintaining the park.

Opening Times
The gates to the park are closed and locked at 6.30pm from 1 October to 31 March (GMT) and at 8.30pm from 1 April to 30 September (BST)
All vehicles must have left the park by the closing time as the entrance gates are automatically closed and locked until the morning.

Waste and Recycling
The Hide has recycling and general waste bins that can be used, all other rubbish and unwanted items must be removed from the space. One refuse sack may be left in the Eurobins next to the main café- refuse sacks are not provided. Itchen Valley encourage, where possible, hirers to use recyclable or compostable materials at the park.

Marketing
Itchen Valley Country Park and Eastleigh Borough Council offer no marketing or communications support for events in The Hide. If marketing support is agreed with park management, it must be signed off by the EBC communications team and park management prior to release.

Electricals
The Hide includes the use of an internal sound system, which can be connected to personal mobile devices. Any electrical equipment brought into The Hide must have an up-to-date portable appliance test sticker (PAT) and may be subjected to spot checks by EBC Management. Kitchen appliances cannot be brought into the Hide.
